Overview

Eastsound Water Users Association is seeking a dependable and detail-oriented person to join our team as a Billing and Membership Specialist on a full-time basis. This position is responsible for managing EWUA’s membership records and billing processes and serving as the primary point of contact for member inquiries.

This position plays an important role in maintaining accurate customer information and ensuring that members are billed correctly and consistently.

This position reports directly to the Office Manager and works closely with the Operations Manager and finance staff to support the administrative and financial operations of the Association.

Responsibilities

  • Customer Communication: Communicating with members and customers to answer questions and resolve concerns through phone, email, and EWUA’s online ticketing system.
  • Membership Administration: Managing the membership application process including determining membership category and allocation of membership fees in accordance with EWUA policies.
  • Member Records Management: Maintaining EWUA’s membership and customer data systems to ensure accuracy and completeness of member information.
  • Billing Administration: Preparing and running monthly billing processes and verifying accuracy of charges and account information.
  • Accounts Receivable Support: Tracking payments, monitoring outstanding balances, and assisting with accounts receivable reporting and reconciliation.
  • Payment Processing: Recording payments and maintaining accurate account histories including payment records and adjustments.
  • Payment Arrangements: Communicating with members regarding past-due balances and coordinating payment arrangements when needed.
  • Account Review: Reviewing financial records and billing statements to identify inconsistencies or errors and coordinating corrections when necessary.
  • Customer Notifications: Informing members of missed payments, upcoming payment deadlines, and billing changes.
  • Administrative Support: Assisting with general office administration and recordkeeping activities as needed.
  • Teamwork and Collaboration: Working closely with EWUA staff to support efficient administrative and financial operations.

Qualifications

  • Education: High school diploma or equivalent required. Additional education in business administration, accounting, or related fields is desirable.
  • Experience: Experience in billing, bookkeeping, customer service, office administration, or similar work is preferred. Previous corporate experience preferred.
  • Technical Skills: Proficiency with Microsoft Office and data entry systems. Experience with billing software or customer management systems is desirable.
  • Computer Skills: Ability to work effectively with spreadsheets, databases, and web-based software.
  • Financial Skills: Comfort working with numbers and financial data and the ability to maintain accurate records.
  • Communication Skills: Strong written and verbal communication skills and the ability to interact professionally with members and customers.
  • Organizational Skills: Strong organizational and time management skills with the ability to manage multiple tasks.
  • Confidentiality: Ability to handle financial and customer information with discretion and professionalism.

Working Conditions

  • This position is primarily office-based with regular interaction with members and customers by phone and email.
  • Normal business hours apply, with occasional additional hours possible during billing cycles or special projects.
  • All training support required provided on the job.

About Eastsound Water

Eastsound Water Users Association is a member-owned nonprofit water utility serving a large portion of the Orcas Island community, including Eastsound and the Olga, Rosario, and Doe Bay areas. EWUA is responsible for the production, treatment, storage, and distribution of drinking water in compliance with Washington State Department of Health regulations.
